How we use your information

Who we are

SiteMentor is a trading name of Plus Voltage Projects Ltd, registered in England and Wales, company number [Company number], registered office [Registered office address]. Plus Voltage Projects Ltd is the controller of the personal information described here.

Contact us about privacy at advice@sitementor.co.uk.

Visiting this website

We don't use advertising or analytics cookies, and we don't track you. Our hosting provider, Netlify, keeps standard server logs (such as IP address, browser type and the pages requested) for a short time to run the site securely. This website loads fonts from Google Fonts, which means your browser connects to Google's servers.

When you email us

When you email us, for example to send a RAMS for review or ask about a retainer, we use your name, contact details, company and the content of your email and attachments to:

  • provide the review or service you asked for (contract)
  • reply to you and keep records of the work (legitimate interests)
  • send invoices and keep accounting records (legal obligation)

RAMS can include the names, qualifications and card details of workers. We use these only to carry out the review, keep them secure, and don't share them except as needed to provide the service.

The SiteMentor Members Club (invites and the queue)

SiteMentor is invite-only and takes on a set number of new members each month.

  • Who invited you. When you join, we record the name or email of the team member, or the member code, you gave us, so we know who vouched for you. If you joined with a member's code, that member can see how many people have joined with their code, but not who they are.
  • Your member number and code. Each member gets a member number, based on the order people joined, and a personal invite code made from their first name. To check codes and count each month's places, we keep a separate record of each member's code, first name, join month and who invited them. Other members' devices can read this record, but it contains no contact details.
  • The queue. If you join the queue, we keep your name, email, trade (if you give it), who invited you (if anyone) and any of the "need help sooner" options you tick, plus anything you add in the note box. We use this to decide the order in which places are offered and to email you when a place opens. We also keep an anonymous entry (the date you joined and whether you're in the priority group or were invited) so the app can show you your place in the queue.
  • Why we can use it: your consent, which you give when you tick the box. You can withdraw it at any time and we'll delete your queue entry.
  • Please don't tell us about health conditions in the note box. We don't need them to place you in the queue.

The queue form on this website is handled by Netlify Forms. The Members Club and the SiteMentor Workspace (the CV Builder, RAMS Review and Owed Wages tools) run on Anthropic's Claude platform, which stores account and queue data for us as our processor and may store it outside the UK under recognised legal safeguards. Only SiteMentor's administrators can see names and contact details.

Rated suppliers, reviews and coins

Members can suggest suppliers, rate them out of 10 and report reviews they believe are untrue.

  • What we keep: what you write, your score, the photos you add, the date, and your name and email so we can check the submission and contact you about it. Reports also keep the reason you give.
  • What other members see: published reviews show "Verified SiteMentor member" and, if you give it, your role. They never show your name or email. Photos are shown only if you tick the box to allow it; otherwise only our team sees them.
  • Photos: please don't include people's faces, names, vehicle registrations or prices. We may refuse or crop photos that do.
  • Why we can use it: our legitimate interest in running an honest supplier directory and checking reviews are genuine, and your consent for showing your photos.
  • Companies: when we contact a suggested supplier, we use the business contact details the member gave us. A supplier's vetting fee is paid through Stripe.
  • Coins and achievements: we record how long you spend on SiteMentor, how many CVs you upload and build, how many people join with your code, and any coins our team adds or removes and why. Only you and our team can see your coins.

Optional donations

SiteMentor is free for founding members while we build it. If you choose to "chip in", the payment is taken by Stripe on its own secure page. Stripe gives us your name, email, the amount and the date, but never your full card details. We use this to keep accounting records (legal obligation) and to thank you. Inside the app we also count whether you opened the donation page, so we can see how useful members find SiteMentor. Donations are entirely optional and don't change your account in any way.

RAMS Acceptance Tool accounts

When you create an account we collect your name, email address, contact number and, if you give it, your company. We also record when you signed up, when you last signed in, whether you agreed to this notice and whether you asked for marketing emails.

  • Creating your account and letting you sign in: contract
  • Contacting you about your account and important changes to the service: legitimate interests
  • Sending RAMS tips and product news: consent, only if you tick the box. You can withdraw at any time

Account details are held in a Google Sheet in our Google account. Google acts as our processor and may store data outside the UK under recognised legal safeguards.

The RAMS reviews you create in the tool, any RAMS documents you attach and your on-screen signature are saved in your web browser on your own device. They are not sent to us and we cannot see them. We use your browser's storage to keep you signed in and to save your reviews; this is needed for the tool to work, so we don't ask for separate consent. Clearing your browser data removes your saved reviews.

The CV tool

The CV tool has its own privacy information inside the tool. Contact advice@sitementor.co.uk with any questions.
